To compare air conditioning quotes fairly, look beyond the headline total. Check what equipment, installation work, positions, electrical requirements, commissioning and aftercare each proposal includes. Two prices may be different because the assumptions are different.
This checklist is useful whether you are comparing two quotes or simply trying to understand what a good quotation should explain. It is not a recommendation to choose the cheapest or most expensive option.
Start with the proposed equipment
Check the manufacturer, model or equipment range, capacity and whether the proposal is for cooling, heating, or both. If the quote does not identify the equipment clearly, ask for that information before comparing it with another proposal.
Also check how many indoor units and outdoor units are included. A single-room system and a multi-room system should not be compared as though they are the same scope.
Compare indoor and outdoor positions
A quote should make the proposed indoor-unit position understandable. It should suit the room, airflow, furniture and everyday use. The outdoor-unit position also matters for access, appearance, serviceability and the route back to the indoor unit.
If the position is still described as to be confirmed, ask what could change and whether a survey is needed. Placement can affect pipework, drainage, electrical work and finish.
Check pipework, drainage and electrical work
Ask how the pipework will travel between the indoor and outdoor units, whether it will be visible, and how it will be protected or finished. Condensate drainage needs a practical route, and the electrical requirements should be clear.
Look for exclusions or assumptions. A quote that does not include a required part of the route may appear cheaper until the missing work is identified.
Ask what happens on installation day
Read the installation process alongside the quote. Ask what preparation is expected from you, how access will work, what happens to packaging and waste, and how the finished route will be left.
Do not assume that every installer includes the same preparation, making-good, electrical or access work. The important point is that the assumptions are visible before you accept.
Check commissioning and handover
Ask whether the system will be tested and whether you will be shown the basic controls, settings and filter-care routine. Find out what documentation or operating information you will receive, if any, and who to contact with a question afterwards.
Ongoing servicing expectations should also be explained. The right routine depends on the system and use, so avoid promises that are not tied to the equipment.
Was the quote based on a survey?
A quote based on a property visit may have more confirmed detail than an early guide based on a short enquiry or photos. Neither is automatically wrong, but they are different stages of certainty.
If you are comparing early guides, ask what still needs confirming. If the installation route or positions are difficult to judge, a free survey may make the comparison more meaningful.
Questions to ask before accepting
Ask: What exactly is included? Where will the units go? How will the route be finished? What is excluded? What could cause a variation? Is the price based on a survey? What happens if the proposed position changes? What will be explained at handover?
Keep the answers with the quote so you can compare like with like. If a figure is provisional, treat it as guidance rather than a final commitment.
Planning permission questions can affect the scope too, so read the guide to air conditioning and planning permission before comparing final proposals.
Local coverage and the next step
North Trent Climate provides domestic air conditioning guidance and installation for suitable homes around Nottingham, Mansfield, Derby and nearby areas. Use the coverage page to check your route.
If you want to start with your own room and property details, request a free quote. The aim is to make the assumptions clear before you decide.
Want to compare your options carefully?
Ask for a clear explanation of the proposed system, installation route and anything still to be confirmed before accepting a quote.
